PROGRAM ANALYST
BB&E is a full service civil and environmental engineering and consulting firm, headquartered in Northville, Michigan, which services both the Federal and Industrial sectors throughout the United States. BB&E team members provide Environmental Consulting, Facilities Engineering and Program/Project Management Services to Federal and private sectors.
Position SummaryBB&E is seeking a dynamic and detail-oriented Program Analyst to support our Air Force Program Operations. This position is full-time and in-office in San Antonio, TX.
Job Duties & Responsibilities- Identify Travel Requirements on new Task Orders (TOs) by reviewing Performance Work Statements (PWS)
- Review and coordinate for approval travel and ODC requests, includes updating/maintaining travel trackers
- Create Travel Forms and Travel Trackers
- Assist travelers with travel and travel expense report related questions, including providing guidance on the Federal Travel Regulations (FTR), Joint Travel Regulations (JTR) and the use of travel preparation tools
- Review and properly code employees expense reports
- Prepare travel trackers for invoice submittals (some TOs), include coordinating with Accounts Payable (AP) and project controls team to ensure expenses are ready for submittal
- Assist in verifying new hires and terminated employees' email status in the Global Address List is current and up to date, coordinates requests with IT help desk
- Coordinate submittals from employees, compile, correct, and review monthly status reports
- Perform other job responsibilities as assigned by Air Force Vice President and Program Managers
Key Qualifications- U.S. Citizenship and the ability to obtain/maintain a NACI/CAC is required
- Knowledge and Skills
- Experience with administrative support practices and procedures to include writing, proofreading, and editing reports
- Experience preparing correspondence/documents using correct spelling, grammar and punctuation; proofreading and reviewing documents for clarity and consistency
- Experience preparing and maintaining confidential and sensitive records, files and reports
- Strong data management skills to manage multiple tasks and meet deadlines
- Ability to maintain effective working relationships with others
- Excellent attention to detail
- Strong Communication Skills: Excellent verbal and written communication skills, with the ability to effectively convey complex technical concepts to diverse audiences
- Software: Demonstratable proficiency with MS Office Suite, Excel, Adobe, SharePoint, and Outlook is required
- Self-Starter: Highly motivated, with the ability to manage multiple tasks and deadlines autonomously
Experience & Education- Experience: A minimum of 5 years of experience providing executive administrative support; experience working with the Department of Defense (DoD) and experience with the FTR and JTR is preferred
- Education: An Associate's degree in Business Administration preferred but not required
Physical Requirements- Ability to stand/walk/climb/kneel/crouch and remain in a stationary position/sit at least 60% of the time
- Ability to operate office equipment, including computer, copy machine, phone, etc.
- Ability to use hands to finger, handle or feel objects or controls; reach with hands and arms
- Capable of lifting up to 10 lbs.
- Ability to see details of objects that are less than a few feet away
- Ability to understand the speech of another person, speak clearly so listeners can understand, and talk or hear both in person and by telephone
